This Privacy Policy explains how MCANIX (“MCANIX,” “we,” “us,” or “our”) collects, uses, and protects information when you visit mcanixsolutions.com (the “Site”), submit one of our contact or growth-audit forms, use one of our free tools (the Marketing Health Score or the Cost Per Lead Calculator), or otherwise interact with our marketing agency and software studio services.
MCANIX is based in Dallas–Fort Worth, Texas. We are a marketing agency and custom software studio — not a SaaS platform. Most of the information we collect comes from people who voluntarily reach out to us about working together.
We've tried to keep this policy plain-language and short. Please reach out to hello@mcanixsolutions.com if anything is unclear.
1. Information We Collect
We collect information in a few specific contexts:
Information you give us directly
When you submit one of our forms — the contact form, the growth audit request form, the Marketing Health Score email gate, the Cost Per Lead Calculator email gate, or any future newsletter signup — you provide some or all of the following:
- First name (and last name where requested)
- Email address
- Phone number (optional on most forms)
- Company name
- Business type (industry — e.g., roofing, HVAC, plumbing)
- Anything you choose to write into a free-text field (“tell us about your project,” etc.)
Marketing Health Score quiz responses
The Marketing Health Score tool asks you to answer 27 multiple-choice questions about your business's marketing setup. Your answers and your computed score are processed in your browser. If you choose to receive the full written report by email, your answers and score are sent to us along with the form fields above so we can deliver the report and follow up with relevant resources.
Cost Per Lead Calculator inputs
The Cost Per Lead Calculator collects numeric inputs about your business — average ticket size, profit margin, monthly revenue goal, marketing spend by channel, leads, and booked jobs. These are business operating metrics, not personal data. They are processed entirely in your browser. They are only sent to us if you submit the optional “send me a custom analysis” form, in which case a snapshot of your inputs travels with the form fields above so we can tailor the analysis we send back.
Automatic information from your browser
Like nearly all websites, our hosting provider and any analytics tools we use may automatically collect:
- IP address and approximate geographic location (city/region level)
- Browser type, version, and language
- Device type and screen size
- Pages you visit on our Site and the order you visit them
- The URL or source that referred you to our Site
- Date and time of your visits
We use this information in aggregate to understand how the Site is being used and to improve it.
2. How We Use Your Information
We use the information described above to:
- Respond to your inquiry, deliver your growth audit, or send the results of a tool you submitted
- Send follow-up emails about your specific request (e.g., a recap email after a free audit call)
- Send marketing emails about MCANIX services or new resources — only if you opt in when submitting a form, and only until you unsubscribe
- Operate, secure, and improve the Site and our services (analytics, performance monitoring, troubleshooting)
- Maintain records for legitimate business purposes such as client servicing, billing, and dispute resolution
- Comply with our legal obligations or enforce our Terms of Service
We do not sell your personal information to third parties. We do not share your contact information with other agencies, advertising networks, or data brokers.
4. Data Sharing
We share personal information only as described below. We do not sell it.
Service providers we use
We use a small number of trusted third-party services to operate our Site and respond to inquiries. These providers process data only on our behalf and only to the extent necessary to deliver their service. As of the date above, these include:
- Hosting and delivery: Vercel (Site hosting, edge functions, deployment)
- Analytics: Google Analytics 4 (when active)
- Form processing and CRM: Form submissions may be forwarded to a customer relationship management or workflow-automation system (such as HubSpot, Zapier, Make, n8n, or similar) so we can respond to you promptly.
- Email: When we respond to your inquiry or send a follow-up, we use standard email service providers (such as Google Workspace) to deliver that email.
We do not authorize these providers to use your information for their own marketing or to share it with others.
Legal requirements
We may disclose information if we believe in good faith that doing so is required to comply with a subpoena, court order, or other legal process, to protect our rights or the rights of others, to prevent fraud or abuse, or to respond to a verified government request.
Business transfers
If MCANIX is involved in a merger, acquisition, sale of assets, or similar transaction, personal information may be transferred as part of that transaction. We'll notify affected users via email or a prominent notice on the Site.
5. Data Retention
We retain personal information only as long as we have a legitimate reason to keep it.
- Form submissions: retained for the duration of our business relationship with you, plus two (2) years after the last interaction, for recordkeeping and follow-up purposes.
- Marketing Health Score and Calculator submissions: retained on the same schedule as other form submissions when you provide your contact information. If you use either tool without submitting an email, no information is retained beyond your browser session.
- Analytics data: retained according to Google's GA4 default retention period (currently 2 months for event-level data and up to 14 months for user-level data; we may adjust this within the limits Google offers).
- Email correspondence: retained for as long as needed to respond to your inquiry and for normal business recordkeeping.
- Server logs: short-term retention (typically under 30 days), used only for security, debugging, and aggregate performance analysis.

6. Your Rights
Regardless of where you live, you have the right to:
- Ask what personal information we hold about you
- Ask us to correct inaccurate personal information
- Ask us to delete personal information we hold about you
- Opt out of any marketing emails by clicking the unsubscribe link in any email we send or by contacting us
- Ask us to stop processing your information for a specific purpose
To exercise any of these rights, email us at hello@mcanixsolutions.com with a brief description of your request. We'll respond within 30 days. We may need to verify your identity before acting on the request.
Texas residents
The Texas Data Privacy and Security Act (TDPSA), effective July 1, 2024, gives Texas residents specific rights regarding personal data. MCANIX is currently a small business as defined by the U.S. Small Business Administration and is therefore not subject to the full set of controller obligations under the TDPSA. We nonetheless honor the substantive consumer rights the TDPSA grants to Texas residents — including the rights above (access, correction, deletion, and opt-out of targeted advertising or sale of personal data, neither of which we conduct). California, EU/UK, and other jurisdictions
If you are a resident of California, the European Union, the United Kingdom, or another jurisdiction with comprehensive privacy laws (such as the CCPA, GDPR, or UK GDPR), you may have additional rights including the right to data portability, the right to object to certain processing, and the right to lodge a complaint with a supervisory authority. Email us at the address above and we will honor any applicable rights you have.
7. Children's Privacy
Our Site and services are directed at trade business owners and operators, not at children. We do not knowingly collect personal information from children under the age of 13. If you believe a child has provided personal information to us, please email hello@mcanixsolutions.com and we will delete it promptly.
8. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, our tools, or applicable law. When we do, we'll update the “Last updated” date at the top of this page. For material changes, we'll also post a notice on our homepage and, where required by law, notify affected users by email.
